Draft Media Release

Heres a draft of the media release publicising the Launch and the Inner Circle exclusive club

Media Release

If donning on your best suits and gowns, drinking fine wine whilst being entertained by New Zealand’s finest musicians sounds appealing, then APO’s ‘Inner Circle’ club is for you.

The Auckland Philharmonia Orchestra is offering those aged 23 to 29 the exclusive opportunity to attend the Inner Circle launch party in the Town Halls VIP room, 7:00-8:00pm Thursday, 8th October.

A violinist will be playing to set the mood accompanied by a talk by a member of the APO.

Wine and cheese will be provided followed by the Great Classics Three orchestral performance.

The Inner Circle membership card offers holder’s five dollar entry to every APO concert held at Auckland Town Hall, Including APN, Vero and Splendour series.

Members have access to the tri-annual Inner Circle interval gathering, with unlimited wine and cheese on the balcony of the ‘Vero Great Classics’ concerts with selected APO VIPS.

Inner Circle members will also be seated together in circle G or B reserved seats for the APN and splendour series.

Tickets to the launch event will cost $45.00 which includes wine, nibbles speakers and access to the Great Classics Three orchestral performance.

We're famous?

Just thought I would put our fame and fortune on our blog!

Team APO = Astonishing, Professional, OrganisedI watched in amazement as Daffyd passed around an agenda for the meeting, Polly laid out some muffins, and Micaela offered me a glass of water. Not that this team were ever less than awesome, but today they seemed to ooze confidence, professionalism and energy. The transformation that has taken place since the first meeting I attended with Team APO/Sublime has been astonishing.









As final year students at AUT, Polly, Daffyd, Micaela and Matt decided to work with the Auckland Philharmonic Orchestra on Polly's suggestion, as she had previously heard about them through one of her papers. I wondered if their decision-making was always that easy, and asked them how they manage to work so well as a team.

They attribute their success to their different individual strengths and the ability to delegate work between each other. They each have a clearly defined role, which ensures that things get done (as people don't assume other people are going to do it). They meet each week (same time, same place) with their mentor Robert Bruce at Sublime NZ offices on Ponsonby Road.


Feeling slightly underprepared in my well-organised team's presence, I asked them my pre-planned questions (not).

An Update

Heres an update just to let you all know whats going on...

We've set a timeline for the next 2 weeks - heading towards the final submission

29 July- ymedia Industry evening - all attending 6-8pm AUT
31 July - Designs of fliers, membership cards, media releases and logo finalised and uploaded onto website.
3 August- Have email/login details from the APO and set up a Twitter and FB account.
4 August- Start on sustainability handbook and have that finished by Friday.
7 August- Finalise all information that is going to be sent to the judges.
10 August- All Submissions to the judges by 5pm.

Daf and I are writing press releases as speak, Daf is also in the process of developing promotional bits and pieces including invitations, flyers and VIP members club cards. Polly is working on the website and Matt is in the midst of changing the logo for the 'young members club' which has had a change of name and is now called 'Inner Circle' - something which The APO came up with!
I have also made a start to the final project summary that we will hand in as part of the judging process.

So thats it for this week, we're hoping it will all start coming together now that we only have a week and a half left!

Draft proposal for APO - Launch event

Launch Event Proposal for Auckland Philharmonia Orchestra

Proposal overview -
We propose that we hold the 'young members club' launch event in the Town Halls function chamber as it is convenient for patrons to commute. There would be nibbles provided and a cash bar which we hope to gain a sponsor for.

Event -

· Event held in Town Hall function room
· 50 people attend –
· 20 freebies for media and opinion leaders
· 30 people $45 tickets = $1350
· Robert from SublimeNZ will help host the event and get people to attend
· Nibbles provided
· Drinks to be served to patrons (They will pay for themselves)
· We hope to gain sponsorship from Villa Maria for at least first glass of wine free.
Extra’s:
· Have a violinist playing during the event to set the mood
· Have a speaker exclusively talk everyone through what the music in the orchestra is about
· An MC to run the event
· Have Villa Maria sponsor the Alcohol
· Own seating plan during Orchestra for 'young members club'

Promotions -

· Press releases for Popular magazines, Websites and opinion leaders
· For example The A-List, Metro, About Town etc
· We will write these ready for you to disseminate
· Invitations sent out to Key media, opinion leaders and as many people we can in our target demographic
· Use Facebook, website and popular events to disseminate fliers

Introduction of membership card -

· Those who want to leave their details to join the Dulcet club at the event can receive a membership card for drinks specials at partner bars
· Will need to communicate with bars and restaurants to see what they can offer.
· For example Spy bar, Opium, Flight lounge, The Hilton


Costs -
· Town Hall hire (could APO get a good deal?)
· Catering (Nibbles, staff)
· 20 free tickets for promotion

Update and to-do-list

So far we've had a busy week, meeting almost everyday to try and get things underway!

On Monday we spent the whole day together sorting things out and putting together our final proposal, Tuesday we meet with APO and today (Wednesday) we worked for a few hours before our weekly meeting with Rob AND had the pleasure of talking to Pamela so we can feature in this weeks ymedia newsletter :)

Our plans for the rest of the week involve working on whats below and getting as much done before uni starts up again!

-Waiting Clare to get back to us re. brief
-Suggest to APO they hire someone (volunteer) to keep running the 'young members club', maybe a 3rd year pr student next year?
-Email Rob for his logo (Micaela)
-PPT needs to be less wordy (Micaela)
-Keep website simple (Polly)
-Sustainability handbook to be done at the very end (Delegate sections)
-Write Press Releases for event and for the concept of 'young members club' (Micaela and Daf)
- Keep working on flyers, invites and members card (Matt and Daf) We need to come up with a packaged deal based around the launch event, heres what we discussed...

Obstacles you say


Expanding slightly from Daf's post, we came across a couple of obstacles this morning with the presentation of the brief.
One thing that had a big effect was that we are no longer able to use the New Season Launch for the launch of the young members club. We are working with Clare to find another date. We were also lucky enough to meet with Samantha and Marc - two people in the APO, that for this project to be successful we need to be able to have contact with.

Apart from that the brief presentation was successful and we are all looking forward to a full on yMedia week.

An update or two

This week has been hectic already and its only Tuesday!!
Eddy asked us last week if we had been having some late nights working on our project and we were thinking ha? late nights? Now I know what she was talking about!!

We did a full day on Monday preparing a powerpoint and adding to our initial brief for the presentation we made this morning to the APO. It went well I feel and we are waiting to hear back from them, hopefully by tomorrow. We are also working on some promotions that would help them raise awareness about joining the young members club aswell as promotions that could be used for members once they join.

What Fanfare means

A potential name we have come up with for the APO 'young members club' is... Fanfare...

Defintion - A florish of trumpets to herald the arrival of someone important like a king or the beginning of something big. A flashy, exciting sound.

Also - Fan - someone who likes someone or something and Fair - a fun event.

It's something, I liked Orchestra-crats but if its a mouthful we can pass on it.

I will look at some of the things Robert suggested and see if i can come up with anything else

· Proms = use to have them in the 1950 – 60’s, shorter Orchestras with different composers, people were more involved

Meeting 08/07 & Industry Inspiration Evening

Yesterday was a busy and full on yMedia day for our team.

We had our weekly meeting with Robert at SublimeNZ and we have made a long to-do list that we are gonig to try and accomplish by next week.

A few things that came out of the meeting that we really need to get on to were:
- A name for our young members club.
- Key media (we need to decide on these in order to be able to successfully target the key opinion leaders in our 23-30y/o demographic)
- Putting our brief into a powerpoint for presentation to the APO.
- Mock up of website layout
- Branding : colours, logos, designs
- Mood board of images relating to the YMC.
- Twitter and FB pages and events
- Design or find invites to premium events to show comparision to APO and how effective these can be at drawing in the correct demographic (for us 23-30 year olds).
- Look into quotes for advertising in the media through places such as, A-list, SPY, About Town, Canvas, Remix, George FM etc.
- We still need a decision from APO about weather or not we can utalise their new season launch event to incoportate the launch of the young members club.
- Do page grabs from websites (SPY bar, Pasha, totoresturant.co.nz) to show the APO sexy, and cool websites and how they can do the same for their young members club.
- We also need to continue working on the brief and elaborating and spelling it out in black and white to APO so their is no confussion about what we are suggesting.

We are going to try and get as much of this done as possible this week to ensure that we are well ahead of the game by our next meeting.

Summary of Industry Evening:

This evening was very beneficial to us as a student team. We learnt a bit more about the judging process and the awards dinner. I also found it very useful to hear from some of the other companies and mentors that are involved in the challenge as it gave me greater industry insight.

It also highlighted that we need to ensure that SUSTAINABILTY is a key component of our brief and that we put systems in place to ensure that APO can continue or impliment the brief once we have left.

We look forward to working on this more this week.

Seminar last night

Hi guys,

Great seeing such a good turnout last night to the seminar at AUT: very impressed.

I think we are onto a good thing, and I want you guys to take some of the lessons that you heard last night and apply it to our project.

In particular, the stuff Eddy was saying about 'delivering the deliverables'. This basically means listening to what the client really really wants and is asking for, and then delivering them. Lets not get caught up with too much fluff and explanations and rubbish: lets hit them with something that is punchy and hot which is going to make them say "yes, you have got it!"

I want you to start talking to some people in the target market too. I am only one person: so my ideas of what are relevant to 'all' 23- 30yos are only from my own experience. I suggest you get a focus group of people, and interview them. I would be happy to help with this, and am happy to do it in my office.
Alternatively, you could tag along to some drinks I am organising at Pasha on Friday after work, and I can introduce you to some people and you can hit them up informally about the APO.

Also, get a name sorted. You dont have anything without a sexy name for this group: so do some research, get your thesaurases out, and figure out a cool name. A good idea could be to go onto Events in Facebook, and look at the names other people have used for their similar events.

Doing good guys: I want you to win this. I will have a little something special for you all if you do, so work hard!

This is our last week of conceptualizing our ideas, moving forward we will start to plan and implement (to an extent) the concepts we have come up with in our brief!

Meeting 01/07

Yesterday we presented our brief to the APO. They seemed really positive and very enthusiastic in regards to the concepts and proposed ideas we have come up with for them!

We have made a few changes to our brief and will upload to the blog as soon as we are all happy with it.

A few discussions were made during the meeting in regards to a few aspects of our brief including...
- Rachelle (APO) will be the one sustaining their web presence and facebook pages
- Video Compression is available through youtube
- 'Date Package' could still be used in conjunction with the Hilton but rather than dinner could be cocktails
- Madame Butterfly, Choral Masterpieces and Last Night of the Proms are all shorter and punchier concerts; could piggyback on these to entice our target audience as are the Vero Series and Xmas Concerts. One offs are generally more enjoyable
- APO Season launch; could also piggyback on this as the launch of the APO YMC
- After party idea
- Thursdays are perfect night to get media attention and make the weekend papers
- Use of celebrity endorsement ie. Brooke Howard-Smith as 'face' of APO
- Decided to make the briefs objective to get 25 of our target audience to subscribe to the YMC in 2010, this year we aim to get 50 patrons attending the concerts

And a few things to do..
- Tweek brief and send through to team, APO and Sublime for final approval
- Decide on a name for APO YMC
- Brainstorm Celebrities to use
- Brainstorm key media to target (Press Releases etc.)
- Mock ups of flyers etc. or atleast a 'mood board' (collage of the design and appeal we're trying to create).

Moving forward, next week on Tuesday we are filming for ymedia awards night and will all be attending the Industry Inspiration Night on Wednesday.
Our next work-in-progress meeting will be the same as always on Wednesday @ 11am @ Sublime.
